Administrative Assistant

    Primarily support 3 Senior Leaders on our Post Acute Sales team as well as be a resource for others in the department.
    • Answer and direct all phone calls. If needed, provide coverage for other departments
    • Organize and schedule appointments
    • Plan and coordinator meetings
    • Take detailed meeting minutes as needed
    • Write and send emails, letters, faxes and other communication
    • Assist in the preparation of regularly scheduled reports
    • Develop and maintain a filing system in the appropriate areas
    • Update and maintain office policies and procedures, such as sales rep list, office phone list and cell phone list
    • Meeting logistics including catering orders, printing name badges, and reserving meeting rooms
    • Order office supplies and help resolve printer/copier issues
    • Deliver mail
    • Order and approve business cards for your assigned sales force
    • Travel arrangements
    • Create and reconcile expense reports
    • Work with other assistants in the company to resolve requests and questions from various senior managers
    • Assist sales reps with event approvals, check requests, sample orders and other miscellaneous requests
    • Be available to set up and support large national sales meetings which occur multiple times a year? ?

    • High school diploma or equivalent.
    • At least two years of previous experience in similar role
    • We are looking for someone who is a proactive / forward thinker.? A must for the constantly changing schedules
    • Strong knowledge of the Outlook system, Concur (a plus) and experience scheduling of multiple meetings for the Sr. management team a plus
    • Working knowledge of office equipment, like printers and fax machines
    • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
    • Excellent time management skills and the ability to prioritize work
    • Attention to detail and problem solving skills
    • Be able to travel either locally or out of state if necessary, although only occasionally
    • Excellent written and verbal communication skills
    • Strong organizational skills with the ability to multi-task

    Don't Be Fooled

    The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
