Contract (indefinite length)
Hours (20-24 hours weekly)
Schedule: Tuesday ? Friday 10:00 AM to 4:00 PM Hours are extended when work load increases
Pay: $18.00 - $21.00/hr. based on experience

Basic Function:

Under the direction and supervision of the President and Office Manager, the primary responsibility for this position is to provide bookkeeping for the organization.

QuickBooks proficiency a must! Experience in recording payments and maintaining receivable records, preparing invoices, collections and reports. Candidate must have previous experience in accounts payable and receivable, excellent with numbers, highly organized, attention to detail.

Able to support other administrative assistant with task. Light administrative duties. Open to learning new technology and performing new tasks.

?Duties and Responsibilities


  • Manage small business with company finances on QuickBooks.

  • Prepare and File Quarterly statements and Annual Report.

  • Maintain bank account records and reconcile bank accounts.

  • Provide clerical and administrative support (scanning, filing records).

  • Manage PayChex and process.

  • Comply with local, state and federal reporting requirements.

  • Assist Office Manager with recording, reconciling and auditing account data.

  • Accounts Receivable, Payable and some Payroll experience (at least 2-5 years).

  • Data entry of receipts and other information.

  • Assists with the preparation of financial statements, bank reconciliations.

  • Assist with budget creation and financial forecasting.

  • Work closely with Office Manager and President, Administrative Staff.

  • Able to update bookkeeping processes and procedures manual.

  • Record payments to customer accounts and maintain accounts receivable records.

  • Resolves outstanding collections after 30 days by taking appropriate action.

  • Prepares accounts receivable statements monthly.

  • Maintaining absolute confidentiality of the organization financial situation, at all times.

  • Other duties as needed and directed by management.

Qualifications/Work Experience

Essential Qualifications

  • 2-5 years of bookkeeping and/or small business office experience required.

  • Strong bookkeeping and filing skills, excellent communication skills in both written and verbal English.

  • Organizational, interpersonal, customer service, time management and presentational skills.

  • Detail oriented, self-motivated, enthusiastic and flexible.

  • Knowledge of modern accounting theory, principles and practices; knowledge of accounting terminology; knowledge of financial QuickBooks coding to appropriate accounts, record keeping and reporting and budget preparation.

  • Ability to analyze financial transactions and make original or adjusting entries; ability to read and comprehend financial transactions; ability to trace transactions through financial records.

  • Ability to work independently and have excellent analytic and problem-solving skills.

  • Good organizational ability and strong attention to detail.

  • Self-directed, highly motivated, reliable.

  • Able to work with confidential information.

  • Helpful and proactive attitude.

  • Ability to utilize computer applications packages, such as QuickBooks and Tax software.

  • Dependable, eager to learn new technologies.

  • Must be flexible and able to reprioritize according to project needs.

Knowledge, Skills & Abilities

  • Strong QuickBooks knowledge.

  • Must be proficient with computers, with strong working knowledge of Microsoft Office suite (i.e., Outlook, Word, Excel, PowerPoint).

  • Must be good with numbers, highly organized with an emphasis on details.

  • Open to learning new technology and performing new tasks.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster.
